7 Quoting Mistakes That Are Costing Canadian Contractors Jobs

Most contractors lose jobs not because their pricing is too high, but because of how the quote itself is put together and delivered. Here are the mistakes that show up most often — and what to do instead.

1. Sending a single lump-sum number

A one-line total gives the client nothing to evaluate except "is this more or less than the other guy." Break the job into line items so they can see the value in what they're paying for.

2. Leaving out materials specs

Writing "flooring — $2,400" tells the client nothing. Naming the product or at least the grade ("engineered hardwood, 3/4in, oak") signals expertise and justifies the price.

3. No payment terms

Every quote should state the deposit required, payment milestones, and accepted payment methods upfront. Ambiguity here creates awkward conversations later — or worse, payment disputes.

4. Taking too long to send it

The contractor who sends a complete, professional quote within hours of the site visit wins a disproportionate share of jobs — clients tend to book with whoever responds first with something credible, especially for smaller residential jobs.

5. Sending an editable file

6. No expiry date on the quote

Without a validity window, clients can sit on a quote indefinitely — and then expect the original price months later after material costs have shifted. Thirty days is standard.

7. Not following up

Most jobs aren't booked from the first quote alone. A short follow-up message two or three days later ("just checking if you had any questions about the estimate") closes a meaningful share of jobs that would otherwise go quiet.
